Allegra was commissioned by a major Australian university to review and optimise their current pay processes and systems, aiming to ensure accurate and timely payments to employees.

Challenge

Following an initial 8-week review, we successfully implemented one of the recommendations. Taking the lead in the program, we utilised our project and change management expertise to implement enhanced Human Capital Management (HCM) systems, minimise pay-related errors, and boost the adoption of Workday.

Ensuring accurate and timely pay is crucial for fostering a positive workplace environment, offering employees a sense of security, reliability and respect for the contributions. By doing so, we actively contributed to enhancing job satisfaction, building trust, and fortifying the employer-employee relationships.

Deliverables

  • Conducted a thorough discovery process to gain a deep understanding of issues. We facilitated  workshops to identify root causes, align workstreams, and secure agreement among key stakeholders on the program's approach, milestones, and deliverables.
  • Defined a 'north star' by reaching consensus on the future state of pay. This guided the development of the target operating model (TOM) and future state processes, ultimately confirming the program's scope and delivery.
  • Established appropriate governance structure and processes, incorporating a program RACI, and an executive Program Control Board. This laid the foundation for decision-making, accountability, and successful program delivery.
  • Developed and implemented a comprehensive change management strategy. This provided essential support for the delivery, adoption, and sustainability of the solution.
  • Regularly engaged and managed key stakeholders, ensuring alignment on the target future state for employee pay. This approach turned stakeholders into advocates for the program and ensured active engagement and alignment from impacted business units.
